Refund notice

Eligibility

Refunds are available only for fees actually received under a signed enrolment note for Signal Desk, Field Notes, Catalogue Studio, or Commerce Floor. Informal interest, waitlist spots, and unsent invoices create no refund right. If your organisation paid, the refund is issued to that organisation unless the enrolment note names a different recipient.

Timeframe to request

Write to us no later than fourteen (14) calendar days after the payment date stated on the receipt, or before the first live session (or first recording access) — whichever comes first — if you wish to cancel for convenience. Requests after that window are considered only under the partial-refund and exception rules below.

Full refund

A full refund of the programme fee (excluding non-refundable items listed below) is given when all of the following are true: we received your written request within the timeframe; you have not attended a live session; you have not downloaded or streamed Field Notes recordings; and we have not already incurred non-cancellable venue costs on your behalf that you agreed to in the enrolment note.

If Mindagentbase cancels a cohort and cannot offer a dated alternative within sixty days, you may choose a full refund of the programme fee or a credit toward a later seat.

Partial refund

If you withdraw after the first live Signal Desk session but before the third, we refund fifty percent (50%) of the programme fee minus any non-refundable items. Withdrawal after the third session is not eligible for a partial refund, except where an exception applies. Catalogue Studio: if you cancel more than ten working days before the booked workshop dates, we refund seventy-five percent (75%); inside ten working days, fifty percent (50%), unless we have already paid a non-refundable venue deposit, which is deducted. Commerce Floor: unused full weeks after a written pause may be credited, not cashed, toward a restart within six months.

Non-refundable items

The following are not refunded once incurred or delivered: travel booked at cost for on-site days outside Bangkok; printed workbook runs ordered at your request; third-party venue deposits passed through at cost; and any government taxes or bank transfer fees that the sending or receiving bank will not reverse. Field Notes access, once streaming credentials have been used, is non-refundable.

Refund process

Email info@mindagentbase.digital with the subject “Refund request,” the enrolment reference, the payer name, and whether you seek cancellation, a full refund, or a partial refund. We acknowledge within two working days and may ask for proof of payment. Do not send card numbers. This site has no checkout; we will not ask you to “re-enter payment details” on a web form.

Processing time and method

Approved refunds are initiated within fifteen (15) working days after we confirm bank details. We return funds by the same method originally used (Thai bank transfer or the international transfer route stated on the invoice). We do not issue cash at the studio. Currency conversion differences and correspondent bank fees on international returns are borne by the payer unless the cancellation was caused by us.

Cancellation by you or by us

You may cancel by the email process above. We may cancel or postpone a cohort if enrolment is too low, if faculty is unavailable, or if a venue becomes unusable. In those cases you choose a new date or a full refund of the programme fee. We will not cancel solely to move you onto a more expensive format.

Exceptions

We consider exceptions where illness, bereavement, or a PDPA-related halt (for example, we pause a seat because a homework dump contained unredacted personal data and cannot be safely continued) prevents completion. Document what you can; we do not require medical detail beyond what is needed to decide. Statutory rights under Thai consumer law, where they apply, are not limited by this notice.
